Data Privacy Notice for Candidates

During the recruitment process, Saja Energy collects and processes personal data relating to job applicants. The Company is committed to being clear and transparent about how it collects and uses that data and to meeting its data protection obligations.

What Information We Collect

The Company collects and processes a range of personal information about you. Personal data means any information about an individual from which the person can be identified.

  • Personal contact details, such as name, title, address, email address and telephone number.
  • Details of qualifications, skills, experience and employment history.
  • Information about remuneration, including entitlement to benefits such as pensions.
  • Information contained in application forms, CVs, identity documents, interviews and assessment tests.
  • References supplied by former employers, where applicable.

How Information Is Stored

Data is stored in a range of different places, including your application record, the Company’s HR management systems and other IT systems, including the Company’s email system.

The Company only processes personal data where it is necessary for recruitment, legal compliance, employment administration or legitimate business purposes.

Why We Process Personal Data

The Company needs to process data prior to entering into a contract with you. We also need to process data to enter into an employment contract with you and to meet our obligations under that employment contract.

The Company also processes data to comply with legal obligations, manage the recruitment process, assess candidate suitability, make recruitment decisions and defend legal claims where necessary.

Health Information

The Company processes health information where we need to make reasonable adjustments to the recruitment process for candidates with a disability.

If You Do Not Provide Information

You are under no obligation to provide the Company with data during the recruitment process. However, if you do not provide certain information when requested, the Company may not be able to process your application properly or at all.

Automated Decision-Making

Our employment decisions are not based on automated decision-making.

How Long We Keep Data

The Company will only hold your personal data for as long as necessary to fulfil the purposes for which it was collected.

If your application is unsuccessful, the Company will hold your data on file for 90 days after the end of the recruitment process. At the end of that period, your data is deleted or destroyed.

Successful Applications

If your application is successful, personal data gathered during the recruitment process will be transferred to your personnel file.

The Company shall issue a new privacy notice setting out the periods for which your data will be held as an employee.

Who Has Access to Data

Your information will be shared internally for recruitment purposes, including with members of the HR and GRO team, interviewers and senior management.

The Company will not share your data with third parties unless we make you an offer of employment.

Third Parties and Transfers

Where an offer of employment is made, the Company may share your data with third parties where required by law, where necessary to administer the working relationship, or where there is another legitimate interest.

The Company may share your data with former employers to obtain references. The Company will not transfer your data to countries outside the Kingdom of Saudi Arabia.

How We Protect Data

The Company takes the security of your data seriously. Internal policies and controls are in place to prevent your data from being lost, accidentally destroyed, misused or disclosed.

Your data is only accessed by employees in the performance of their duties.

Your Rights

  • Access and obtain a copy of your data on request.
  • Require the Company to change incorrect or incomplete data.
  • Request erasure of your personal information.
  • Object to processing where the Company relies on legitimate interests.
  • Ask the Company to suspend processing if data is inaccurate or disputed.
